Job Description

We are currently seeking a full-time, reliable, highly detailed oriented, confident, career driven individual to fill our Operations/Sales Support Coordinator position. This is a great position in a casual but hard-working office environment. We maintain a small, team-oriented and fast-paced office with shifting priorities and a team dedicated to the rewarding mission of our organization. We operate as a small business, so this position would be involved in many different aspects of our day-to-day operations. Since 90% of our business is international/overseas, the ideal candidate must be willing to work longer/flexible hours.

Primary responsibilities include (but are not limited to):
  • Start-to-finish order processing from worldwide customer/supplier network. Project Management.

  • Communicate with suppliers/agents/clients to ensure timely deliveries of products.

  • Provide outstanding customer service before/during/after deliveries. Daily follow-up on all orders/inquiries.

  • Primary point of contact with existing customer and vendor base.

  • Comfortable with flexible hours, iPhone, laptop, overseas/international customer base.

  • Many sales will be completed after hours, not your typical 8-5 job, always on call.

Day-to-Day Duties:
  • Interact daily via email/phone with international suppliers, agents, and warehouses to ensure accurate, timely, and successful fulfillment of customer orders.

  • Must be comfortable receiving LOTS of email. (200+ emails per day)

  • Provide thorough follow-up on all inquiries, transactions, and orders with both suppliers and customers.

  • Provide outstanding customer service to our worldwide customer base.

  • Utilize QuickBooks to generate Quotes/Sales Orders/Invoices/Purchase Orders.

  • Update sales information into multiple complex Excel spreadsheets. (EXPERIENCE WITH EXCEL IS A MUST! YOU MUST BE VERY COMFORTABLE WITH EXCEL)


Requirements/Skills to include:
  • 2-3 years of business experience in a similar office environment.

  • BS/BA degree in Business, Economics, Finance, Accounting, Entrepreneurship, Marketing or related field.

  • Highest level of analytical skills and VERY GOOD WITH NUMBERS.

  • Comfortable with currency conversions, volume conversions and profit margins.

  • Excellent written and verbal communication skills. Strong organization skills. Must be able to multitask.

  • Excellent knowledge of all Microsoft Office applications. (Word/Outlook/Excel/etc).

  • Willing to work longer, flexible hours, and deal with different countries/time zones.

  • STRONG ATTENTION TO DETAIL SKILLS. This position is for a "numbers person".

  • Experience with QuickBooks is preferred but not required. (Some general accounting knowledge)
